Ideas Labs

An Ideas Lab brings together groups of 25-30 interdisciplinary researchers to create teams and develop new and innovative grant proposals through real-time peer review over the course of a five-day, residential workshop.

Extramural Ideas Lab
(5 days, 3 person staff, up to 30 attendees)
Base fee: $99,700

Intramural Ideas Lab
(3 days, 2 person staff, up to 30 attendees)
Base fee: $57,450

What’s included in both:

  • Project administration

    Account management and administrative activities associated with the project.

  • Project management board and knowledge base

    KI will set up, share, and maintain an Asana™ project management board. The board serves to organize project activities as well provide links to resources from KIs knowledge base. The knowledge base has been developed over the many years that KI has been designing and facilitating interdisciplinary scientific events and is continuously being updated with new guidelines, templates, and other resources.

  • Project planning meetings

    KI staff will prepare and facilitate up to 9 project planning meetings. A RAG (Red, Amber, Green) status and short progress update will be provided upon the conclusion of each meeting via Asana™.

  • Onboarding Organizers, Director, Mentors & Provocateurs

    KI staff will brief the Organizers on best practices for Director, Mentor and Provocateur selection and will help the Director, Mentors and Provocateurs prepare for the event. In addition to briefing the Mentors and Provocateurs via an online meeting, KI staff will also provide briefing resources inclusive of materials such as roles & responsibilities, tips and watch outs, advice from past Directors, Mentors and Provocateurs, and output from past events.

  • Agenda design

    KI staff will facilitate the process of defining the goals of the event, assist the Organizers in defining the output of the event, and design the agenda and slides for the event.

  • Venue assistance

    KI staff will provide optimal venue guidelines, vet a short list of candidate venues, and coordinate room layout, meal times and shipping of materials with the selected venue.

  • Onsite setup and orientation

    KI staff will arrive one day prior to the start of the event to prepare the meeting room, perform last minute onsite adjustments and provide a 2-hour orientation meeting for the Organizers, Director, and Mentors. Please ensure the venue is available one day prior to the start of the event for these activities.

  • Workshop facilitation

    The KI team will provide facilitation services at the event.

  • Workshop materials

    KI will provide all required workshop materials including Post-its™, flip chart pads (not easels), Sharpie™ markers, table-top fidget toys, etc.

  • Travel & incidentals to and from the event

    KI will directly arrange for and pay for the domestic coach travel of its staff including air, train and ground transportation, parking, fuel, car rental and any other incidentals getting to and from the event. (International travel may be subject to greater costs.)

  • Excluded

    Lodging and catering at the event are generally arranged for and paid directly by the client for simplicity.

What’s included only in the Extramural Ideas Lab:

  • Facilitation of Participant selection process

    Includes tailoring of standard application, collection of applications, scoring guidelines and rubric, distribution of scores to reviewers, aggregation of reviewer scores and facilitation of selection meeting.

  • Online Collaboration Hub

    KI staff will set up a private website that will serve as a collaboration portal for Participants to use before, during and after the event.

    Additional planning meetings are recommended for new Organizers or complex events where additional guidance and consultation with KI staff are found to be valuable. It is not unusual for some projects to require weekly or bi-weekly planning meetings. KI staff will prepare for and facilitate each of these meetings, update the project management board, and provide a status update at the conclusion of the meeting.

  • Additional co-facilitator or other KI staff $3,300

    (Priced per KI staff per day)

    Additional staff is recommended for larger events or for events that have unique components which require additional planning, design, staffing, or specific skills.

  • Organizational psychologist application review $15,750

    (KI incurs this cost in Great British Pounds and it may be subject to exchange rate fluctuations.)

    An organizational psychologist will review up to 150 applications and provide a score of 1 to 4 for each application. The organizational psychologist will also attend the selection meeting and provide comments for each applicant.

  • Additional application review $2,000

    (KI incurs this cost in Great British Pounds and it may be subject to exchange rate fluctuations.)

    An organizational psychologist will review up to an additional 25 applications and provide a score of 1 to 4 for each application.

  • Micro Labs Starting at $4,950

    A highly interactive 60 to 90-minute virtual event that can be used before or after the event to enhance and extend the Participant experience. These are highly recommended for shorter duration events, events that would benefit from introducing or briefing the Participants prior to arrival, events that require learning prior to arrival, events with large quantities of people in attendance, and events that require additional collaboration after the event.

  • Public event website Starting at $4,950

    KI staff will set up, update and maintain a basic public website for the event.

Scoping Sessions

Scoping sessions are short workshops that maximize diverse expertise and input to break down a broad topic area into actionable challenges and opportunities for future research.

Micro Labs and KI Virtual Event

KI’s Virtual Events are multi-day workshops that offer just about all of the advantages of in-person events without the time and money associated with travel. These are interactive and should not be confused with webinars (i.e., you will not be able to grade papers while you participate.) Likewise, Micro Labs (or µLabs) are 60-90 minute virtual events that can, for example, serve to introduce an upcoming event to potential applicants or sustain a community formed at a previous event. The possibilities are endless.

Virtual events and Micro Labs offer so many possibilities that there really isn’t a standard price. Hopefully, a few of the below items will help you better understand the costs.

  • Add on Micro Lab (to an existing project) Starting at $4,950

An Online Collaboration Hub or Public website is also a good addition.)

KI events — Ideas Labs, Scoping Sessions, Micro Labs and Writing Workshops —  are all customized to some degree to fit each client’s needs. But, we wouldn’t be KI if we didn’t, in the spirit of creative problem solving, also offer our clients the chance to co-create their event from scratch. Our clients have used custom events to facilitate strategic planning and visioning, research roadmapping, and networking and partnering; just to name a few. Together we can create an event to suit your needs — even if you don’t know exactly what those are yet.
